They are currently seeking a highly motivated and organised individual to join their team as Administration Assistant, initially on a FTC with the view to extend. This position will play a crucial role in supporting their administrative functions and ensuring the smooth operation of their facility.

RESPONSIBILITIES:

  • Maintain internal databases.
  • Keep employee records (physical and digital).
  • Maintaining the purchase order system.
  • Maintain a filing system for data on customers and external partners.
  • Prepare regular reports and presentations.
  • Organise, store and print company documents as needed.
  • Answer and redirect phone calls as well as first contact for visitors.
  • Process Agency workers time sheets.
  • Maintain and report Sustainability data.
  • Maintain and report RFA data.
  • Provide HR Data for group.
  • Monitoring of Health and Safety data.
  • Maintaining records on training for reporting.
  • Order office stationery and supplies.
  • Distribute incoming and outgoing mail.
  • Handle queries from managers and employees.
  • General admin duties.
  • Energy monitoring.
  • Purchase invoicing.

REQUIREMENTS:

  • Proven experience in Administration or a similar role.
  • Knowledge of office policies and procedures.
  • Experience with office management tools (MS Excel in particular).
  • Excellent organisational and time-management skills.
  • Strong written and oral communication skills.
  • Problem-solving attitude with an eye for detail.
